Module 3 of 6

Money and the night audit

Check evidence, preserve the record and escalate unexplained differences.

Control the float and cash movement

A cash float is the starting change held for the desk; it is not room revenue. Count it at the handover using the hotel procedure and compare it with the stated opening amount. If it differs, record the actual count and raise the discrepancy before accepting an unexplained opening balance. Cash-handling rules depend on the country and the hotel's policy. Follow the approved counting, witness, storage and access arrangements, keeping cash and guest information away from the public counter.

Tap to continue

A cash drop moves recorded cash from the desk to secure storage under the hotel procedure. Record the amount, time and required custody details so the movement can be traced. Do not treat a drop as an expense or count it twice as revenue. Keep personal money separate. Never add your own cash to disguise a shortage; doing so removes the evidence that the next person needs to investigate.

Handle a float difference

Distinguish a hold from a payment

A card authorisation holds an amount against available funds; it is not a completed payment. A deposit is an advance payment recorded against the booking. Check the booking, approved payment terminal or payment system and relevant records before telling a guest what has happened. Explain the amount and purpose before taking an authorised action. Do not describe an authorisation as a refund, or assume a bank will release a hold at a time you cannot confirm.

Tap to continue

In an invented example, a guest sees a pending amount and says they have been charged twice. Check whether the entries are a hold and a completed charge before deciding on a correction. Follow the approved process for release or payment review, and give an accurate explanation of what you have requested. Never record full card details or security codes in a shift log. Payment and guest-data rules depend on the country and the hotel's policy.

Clarify the transaction before acting

Investigate differences without guessing

Reconciliation compares expected balances with recorded transactions and actual funds. In this invented cash example, an opening float of €100 plus €240 of cash receipts minus a recorded €200 drop leaves €140 expected at the desk. A count of €130 leaves a €10 shortage to investigate; the drop has already moved cash into secure custody. The example teaches the method, not a standard hotel float or acceptable tolerance. Check that all relevant movements belong to the same period.

Tap to continue

For an unexplained difference, preserve the original records, recount under the approved procedure, check receipts and cash movements, then escalate what remains unresolved. Never post a guessed sale, refund or adjustment just to force a balance. If a correction is supported, use the authorised correction process with a reason and an audit trail. State the amount and the evidence checked, without accusing a colleague or assuming that a missing receipt means dishonesty.

Escalate an unresolved balance

Understand what the night audit checks

The night audit checks that the day's room charges, other postings, payments and exceptions are complete and consistent before the business date is closed. Review room status and occupancy records, missing or duplicate postings, departures, no-show handling and unsettled accounts under the hotel checklist. A balanced total alone does not show that every posting belongs to the correct guest. Check the supporting records and investigate exceptions. Follow the hotel's cut-off and business-date procedure rather than assuming midnight automatically closes the day.

Tap to continue

In an invented situation, a restaurant charge arrived after its guest departed. Check the source and approved handling rather than transferring it to another occupied room. An unresolved audit exception must be handed over with its evidence, an owner and the next action. Close the business date only through the authorised procedure; never bypass an exception merely to finish faster. Protect access to financial screens, secure paperwork when you leave the station, and tell the next shift what still requires attention.

Before handing over, explain which balances are confirmed and which exceptions remain open. Give the next colleague the relevant reference and the approved contact for help. Do not leave financial paperwork on the public desk or send transaction records through a personal messaging account. A clear handover protects both the investigation and the colleague taking responsibility.
