Module 2 of 4

Reservations & availability

Bookings, changes, no-shows, and the art of the full house.

Precision is the job

A reservation is 5 facts

1

Name

Full surname, spelled back — never assume the spelling.

2

Dates

Arrival and departure. Repeat both: 'Friday the 12th, leaving Sunday the 14th — two nights.'

3

Room type

Double, twin, suite. Never promise a specific room number — promise the type.

4

Rate

The agreed nightly rate and what it includes (breakfast, city tax, VAT).

5

Guarantee

Credit card hold, deposit, or corporate account. Without it, the booking is unguaranteed.

Receptionist confirms a telephone booking, using a headset and making a careful note.
Phrases to keepClick audio icon to listen

“Let me read that back: a double room, arriving Friday the 12th, two nights, at 95 euros per night.”

The confirmation habit that prevents disputes

“I've noted the request for a high floor — I can't guarantee it, but we'll do our best.”

Requests are noted, never promised

Worked example: checking a booking record

This is a booking as it might appear in a hotel system (example data):

Tap to continue

Guest: Ahmed Karimi Arrival: Fri 12 June. Departure: Sun 14 June. Nights: 2 Room type: Double, sea view Rate: 95 euros per night, room only Source: Booking site, non-refundable Guarantee: Prepaid Notes: Late arrival, around 23:00. Requests high floor.

What a careful receptionist notices: 1. Late arrival. Mark the booking so the night team expects him, and confirm the room is not released. 2. Room only. Breakfast is not included, so tell him the price at check-in rather than surprising him at check-out. 3. Non-refundable and prepaid through a booking site. He has already paid the site; do not charge the room again. You may still need a card for extras. 4. High floor is a request, not a promise. Note it for room allocation.

1/4

No-shows and the full house

Hotel manager assists a tired guest beside packed luggage and a waiting licensed hotel transfer vehicle, organizing an alternative stay.

Quick Shift Check
